Example of onboarding "First Day" checklist

Completion requirements
Start your first day off in a good way:
- Ensure all your hiring and benefits forms have been completed and returned to Human Resources.
- Provide electronic deposit information for direct deposit/payroll (ID verification, Social Insurance Number, voided cheque, etc.).
- Meet your new department team members.
- Go on a workspace tour and highlight need-to-know spots (e.g., fire alarms, fire extinguishers, exits, personal storage, recycling and compost, break room, bathroom, supplies, kitchen, washrooms, conference/meeting rooms, parking, etc.)
- Go for a walk around campus.
- Visit the bookstore and check out the campus services.
- Set up your workspace.
- Log in to your workstation using your network login and create a password (*note that you may not have been sent your email and login details from the IT department yet. This sometimes takes several days and can be frustrating to wait for...)
When you DO get access to your account/login info:
- Access Microsoft Outlook email and calendar.
- Set up your email signature.
- Open Microsoft Teams (if applicable).
- Log in, bookmark, and explore the institution's intranet, or learning management systems.
- Complete your voicemail set-up (if available).
- Review the Responsible Use of Information Technology Facilities and Services Policy.
Discuss the following with your manager/supervisor:
- The structure and purpose of the school or department
- Expectations surrounding office hours and absences
- An overview of your job description, responsibilities, expectations, and performance planning & development
- Any safety requirements for your position
- Break schedules, regular and overtime hours
- If the department is scent-free or scent-aware. Most institutions now promote a scent-free environment, as many people are extremely sensitive to perfumes, colognes and other scented products.
- Complete mandatory onboarding courses as necessary such as:
- Effective Records Management at TRU
- Freedom of Information & Protection of Privacy
- Information Security Awareness Essentials
- Respectful Workplace & Harassment Prevention
- Responding to Sexualized Violence
- Environmental Health & Safety
Log in to your Employee account and learn how to:
- Report hours and absences.
- See pay dates.
- View pay stubs.
- Access the payroll calendar.
- View payroll cut-off dates.
